PTFA Annual General Meeting
September, 2008
Dear Parents and friends,
At this time of year, we hold the PTFA AGM to which you are cordially invited. The meeting will be held on Tuesday 16th September at 7.00p.m in the school hall. As is our custom, we shall have refreshments consisting of various cheeses to sample, wine and non-alcoholic drinks.
Our meeting is very much a social event, an opportunity to 'get to know' each other and gain information regarding the running of the PTFA. The 'Chair' will give a very brief outline in relationship to this.
We would very much welcome your attendance at the meeting and bring a friend along if you wish. Every parent or guardian automatically becomes a member of the PTFA but if you are able to offer a little time (four or so evenings per year) by becoming a member of the PTFA committee or if that is not possible, just to add your name to a 'helpers' list, either would be most appreciated.
To ensure we have sufficient cheese and wine to sample could you please return the slip below. I look forward to meeting you on the 16th September.

ANNUAL GENERAL MEETING 16 SEPTEMBER 2008

| Resignations | A letter had been received from Ruth Ive offering her resignation as secretary. |
| Committee | M Parker was re-elected as Chairperson |
| K Hird was re-elected as Treasurer | |
| M Hartnell was elected as Secretary | |
| Treasurers Report | K Hird circulated copies of the Treasurers report for the past year, it was agreed that fund raising had gone well, but perhaps some fresh ideas were needed for this coming year. All agreed items from last year's staff wish list have been purchased/booked and been well received. |
| Easy Fund Raising | M Parker mentioned that we had received a small donation from the use of the 'Easy Fundraising' website. It was decided to 'push' this idea more as it raises money just by people using the site. M Wynne suggested sending an email to parents with a 'link' to the site, perhaps also giving information to pupils to encourage their parents to use it. |
| Staff Wish List | M Parker will ask staff to make a wish list for this year, which will be discussed at the next meeting. |
| Summer Fair | This still raises money but each year the total seems to be less than the previous one, has it run its course? Date has been set in school diary for next summer but perhaps committee could think of other ideas for a fund raising event. M Parker will check dates with Primary School so events don't clash. |
| Art Exhibition | Opening party Monday 22nd September, opens to public on Tuesday 23rd. We will organise a raffle which will run over the two weeks the exhibition is open and be drawn at the end. Prizes will be purchased. M Wynne suggested approaching Peter Bolton to donate a piece of art work. |
| Open Evening | Is being held on Tuesday 30th September. Committee agreed to sell refreshments for donations. |
| Mamma Mia! | Community Cinemas from Preston have been booked to do a showing of Mamma Mia on Thursday 13th November. They bring full size cinema screen and sound equipment. Tickets are for sale at £4 each, which goes to the cinema company to cover royalties etc. We may receive a small percentage but this is dependent on ticket sales. Fundraising will be done by selling refreshments, holding a raffle etc. |
| Fundraising Ideas | Donation boxes - in local shops for people to put loose change in. |
| Ice Rink - works in similar way to cinema. Company brings all the equipment, we sell tickets and receive a percentage. | |
| Christmas Raffle - Each class decides on a
theme for a hamper then each
pupil donates one item to fill it (could have prizes for best idea,
best presented hamper, most tickets sold etc. to encourage pupils).
Pupils would then be given books of raffle tickets to sell. M Hartnell
to source prices for pre-printed raffle tickets. To be discussed further at next meeting. |

| Chocolate Fountain - always popular. Probably best done as part of another event. | |
| Variety Show | This has already been booked for 2009. M Hartnell to check dates with David Butters. |
| Comenius Project | The current phase of the project ends in March with a meeting here for representatives from all countries involved, starts Monday 23rd March. A ceildh has been booked for Thursday 26th. |
| Helpers List | This year lots of people, about 20, have put
names on PTFA
helpers list. It was agreed to send each one a note of thanks,
mentioning forthcoming events we may need help with. Currently we need help on Open Evening, Film Night, selling raffle tickets at Christmas Drama Production, Marshalls for the Cross Country and possibly for Ingleborough Trophy Run if it takes place. |
| Next Meeting | Tuesday 4th November at 5.00pm. To discuss staff wish list and refreshments for film night. |

| Wish List | MVP read out the staff wish lists to the meeting:

| The committee agreed to fund all the requests, including 10 maths dictionaries. MVP suggested £50 be donated to each form to buy their choice of games for use at wet break times. This was agreed. | ||||||||||
| Mamma Mia! | Tickets for the cinema showing on Thursday13th November have all sold out. Refreshments need to be organised, it was decided to sell popcorn, icecream, tea/coffee and biscuits and cold drinks. | |||||||||
| Hayley Kellett to order 4 boxes from Yorkshire Dales Icecream, 24 individual tubs per box, at a cost of 60 per tub. It was decided to sell these at £1.00 each. | ||||||||||
| MH to buy cartons of juice, tea, coffee, biscuits and popcorn. These will sell at 50p for popcorn, tea/coffee & biscuits. Cold drinks to be decided. | ||||||||||
| Popcorn and cold drinks will be available on the door, icecream and drinks at the interval (we will set the urn up at the back of the hall). KH to organise floats. MVP will organise setting up of chairs from classrooms. | ||||||||||
| We decided to sell raffle tickets on the door with the raffle drawn at the end of the film. MH to buy prizes. | ||||||||||

| Christmas Hamper Raffle | V McKenzie is organising this with the School Council. One hamper will be made by each class, each pupil will bring one thing to put in, the class will decided on theme for hamper and be responsible for presentation. There will be a prize (tin of chocolates) for the class who produce the best hamper. | |||||||||
| It was decided to sell the tickets at 50p each, these will be printed in books of 5 and each pupil (or family) will be given 2 books to sell (£5 worth of tickets). Tickets will be sent home with a covering letter and an envelope to return money or any unsold tickets. The office will keep a log of which children have which number books. We will also look at asking businesses in the village to sell tickets. The raffle will be drawn at the Christmas Drama Production on December 18th. | ||||||||||
| MH will order 1500 tickets from Andrew's Print Shop in High Bentham. | ||||||||||

Ingleton Middle School PTFA minutes
Meeting 14th January 2009 - 4.00pm

| IRCA | It was suggested by MH that by joining the IRCA (Ingleton Rural Community Association) we would benefit as a school. We would be involved in community matters and would be eligible for discounted rates for hiring the Community Centre. The cost to join is £10.00 per annum. All agreed and MH volunteered to be the school representative. |
| Variety Show | Friday 20th March, 7.00pm - Ingleborough Community Centre. |
| DB agreed to contact performers from out of school, lighting/sound technicians and stage manager. MVP will organise performers from school. | |
| Jobs for the evening were discussed and will be as follows: | |

| We agreed to contact others' from helpers list nearer the time. | |

| DB said sound engineers would possibly want the music in advance to make a CD in the correct running order. | |
| Singers - we need to know in advance what everyone is singing to avoid duplication of songs. Also, music only backing tracks must be used, no singing on them. | |
| Tickets will be sold from the school office and the Village Newsagents, MH will check Tracy is able to do this. We are able to sell 200 tickets. | |
| Performers do not have to pay for a ticket but anyone accompanying them does. | |
| Ceilidh | Thursday 26th March, 7.00pm - Ingleborough Community Centre. This is to coincide with the Comenius week at school and will be an adult only event. Tickets will be £2.00 each and sold from the school office and on Parents Evening. Refreshments will be a jacobs join and bring your own drinks. CL has booked a band. D Butcher has produced a poster to advertise the event. Other forms of advertising were discussed, emailing Bay Radio and Fresh Radio, contacting the Churches and other village groups eg. WI,other schools, Twinning Committee, Scottish Dancers etc. |
| Cinema Night | It was decided to hold another cinema night after the success of Mamma Mia! MH and HK to contact Community Cinemas to see what they have available and which dates. MVP suggested a film for adults rather than a children's one as the last event was more popular with adults than children. Suggested dates: Wednesday 29th April, Wednesday 6th May. |
| Green Advertising Boards | MVP said she would speak to Phil Walker (Governor) about advertising on the large green boards in the village. This would be particularly good for the Variety Show and the Ceilidh, possibly even the cinema night. |
